How it works

The estimate starts with a fixed set of documents for the project type, then adds records per company per year. Pages per document and megabytes per page are averages from typical deal rooms; scanned paper uses far more storage than native PDFs and Office files.

Storage matters for vendors that price by data volume and for upload planning. Page counts matter for vendors that price per page, which is less common now but still seen in some quotes.

Questions people ask

How big is a typical data room?

Startup rounds often stay under 300 documents. Mid-market sales usually hold 1,000 to 3,000 documents. IPOs and regional deals can run to tens of thousands of pages.

Why do scanned documents matter?

Scans are images, so each page can be several times larger than a native PDF page. Old board minutes and title documents are often scans.

Does storage affect price?

For some vendors yes. Others offer unlimited storage within a plan. Check the pricing model before uploading years of archives.
